Group Committee
Group Committee meetings are held once a month and the meeting location changes. It used to be at Queens Ave. United Church, but lately it is at the Group Commissioner’s house. All leaders should make an effort to attend as this is where the Group decisions are made. At a minimum, at least one leader from each Section should attend. Typically, the meeting is held early in the month.
On a monthly basis, we get an update from the Treasurer, discuss and plan upcoming events, discuss membership and leadership requirements, parent and leader training requirements, review past events, and hear Section reports. This is also the forum to request funding for Section events and submit bills for payment.

Beaver Colony A (Queens Beavers)
Meetings are held at Queens Ave. United Church (529 Queens Ave., New Westminster, BC, V3L 1K2) on Mondays from 6:15-7:15. The Office Coordinator there is Monica at (604) 522-1606, queensaveuc@telus.net. The Minister there is Rev. Nathan Wright. There is no cost for rental, and we do not appear to need to sign and updated Agreement every year.

Cub Pack
Meetings are held at Glenbrook Middle School (GMS) gymnasium (701 Park Crescent, New Westminster, BC V3L 5V4) on Mondays from 6:15 to 7:45. The rental cost is $5.50 per hour for the gym, which works out to about $325.00 for the year. We need to apply to the New Westminster School district for the use of the gym. The contact is Betina Wheeler, Community Program Development Officer, New Westminster Schools at bwheeler@sd40.bc.ca. There are a few evenings through the year that we don’t get use of gym. These are detailed in the agreement.

Meetings are held at Knox Presbyterian Church in Sapperton (403 East Columbia St., New Westminster, BC, V3L 3X2) on Mondays from 6:45-9:00. Contact is listed above.

Annual General Meeting
Once a year, typically in mid-November, an Annual General Meeting is held. The minutes from the meeting are required to be submitted with the Gaming Grant application that is due at the end of November so the AGM must be held early in the Scouting year.
The location of the meeting changes. It can be held after a Monday night meeting or on a Saturday at someone’s house. If a large group is expected (ha, ha!), then a hall should be booked in advance to ensure availability. In the past, it was held on a Monday night after the Section meetings at Queens Avenue United Church or Knox Presbyterian Church. In 2015, it was held at the Group Commissioner’s house for the eight people who bothered to attend.
At the AGM, the Group Committee members step down and a new Group Committee elected. Typically anyone who agrees to stand for a position has expressed interest in the position before the meeting. As we are a volunteer organization and it is hard to find and keep volunteers, there is usually very little competition for the positions.
A financial report is presented by the Treasurer at the AGM.
All parents and leaders should be invited to attend. While the interest by parents is usually low, all Section Leaders are expected to attend. At least a few weeks’ notice of the meeting should be provided.
